The List View is the most structured way to manage work inside a project’s Production Board in Duio. It is designed to help teams organize phases, milestones, and tasks in a clear, hierarchical format that supports both planning and execution.

This page explains how the List View works, what each element represents, and how it is typically used during production.


Purpose of List View

List View is focused on clarity and structure. It allows you to:

  • Break work down into phases and milestones

  • Manage tasks in an ordered, readable format

  • See task details at a glance

  • Quickly create, edit, and reorganize work items

It is often the primary view used by producers, leads, and anyone managing day-to-day progress.


First-Time Setup

When an admin opens the Production Board for the first time, they are welcomed with a prompt titled “Welcome to your production board.”

From here, admins can:

  • Create a new phase from scratch by providing a title and color

  • Choose from a list of preset templates that include common development pipelines

Once a phase is created or a template is selected, the Production Board becomes fully active and loads into List View.


Phase Navigation

Phase Header

Phases are displayed:

  • Across the top header on desktop

  • Inside a dropdown menu on mobile

The phase header is persistent across all Production Board views.

From the header, users can:

  • Switch between phases

  • Change views (List, Timeline, Board)

  • Open the Phase Viewer to manage phases

  • Add new phases or milestones (Admins only)


Milestones

Milestones act as containers for tasks and represent meaningful checkpoints within a phase.

Empty Phase State

If a phase has no milestones, List View displays a centered message:

“Add a new milestone to start managing tasks for this phase”

A button is provided to create a New Milestone.


Creating a Milestone

Admins can create a milestone by:

  • Providing a title

  • Selecting a color

Once confirmed:

  • The milestone is added to the current phase

  • The view automatically switches to List View

  • The milestone appears as a new container ready to accept tasks

Milestone colors are important because they visually group tasks that belong together.


Tasks

Tasks represent the individual units of work within a milestone.


Creating a Task

Admins can add a task by:

  • Clicking the add icon at the top-right of a milestone container

  • Clicking the “Tap add or drop an item” button at the bottom of a milestone container

This opens the New Task popup.


Task Fields

When creating a task, admins can configure the following:

Title
Defines what the task is.

Description (optional)
Provides additional context or instructions.

Start Date
When the task begins.

End Date
When the task is expected to be completed.

Priority Level
Available options:

  • Low

  • Medium

  • High

  • Important

  • Urgent

  • Critical

Select a Milestone
Allows assignment to a specific milestone (pre-selected if created from within one).

Assign Members
Assigns team members for notifications, alerts, and editing permissions.

Reference Link (optional)
Links to external resources such as documents, repositories, or design references.

Asset Collection

  • If no asset collections exist, a New Asset Collection option is shown

  • If collections exist, a dropdown allows selection


Creating an Asset Collection from a Task

If New Asset Collection is selected, admins can:

  • Set a title

  • Add an optional description

  • Choose a color

  • Enable “Make Viewable to team members”

The collection is created and immediately assigned to the task.


Task Creation Confirmation

Once required fields are set, clicking Ok:

  • Creates the task

  • Adds it to the selected milestone

  • Applies the milestone’s color as the task’s indicator color

All tasks within a milestone share the same visual indicator color.


Viewing Tasks in List View

List View allows project members to quickly see key task details, including:

  • Task title

  • Assigned members

  • Start and end dates

  • Checklist progress

  • Priority level

  • Current status

This makes List View ideal for reviewing workload and priorities at a glance.


Task Detail View

Clicking a task opens its full detail view.

From here, task members can:

  • Upload content for feedback or review

  • Add or manage checklist items (Admins only)

  • Leave comments and discussion notes

Admins also have additional options:

  • Upload a banner image for the task

  • Post the task to the job board if no members are assigned


Editing and Managing Items

Editing or Deleting Milestones and Tasks

Milestones and tasks can always be updated or removed by clicking the edit icon located in the top-right corner of their respective containers.

This allows:

  • Renaming

  • Color changes

  • Structural updates

  • Deletion when no longer needed


How List View Is Typically Used

List View is best suited for:

  • Structuring work during planning phases

  • Managing milestone-driven development

  • Reviewing task details and assignments

  • Making precise edits to schedules and priorities

It often serves as the backbone view that complements Timeline View and Board View.
